Setting up Wine Advisor SharePoint Folders

All Wine Advisors have their own commission folder that themselves, WA Management and Finance have access to. These are stored in the Team - Wine Advisor > Documents > Order Sheets folder in SharePoint by year. Team - Wine Advisors - 2021 Comm - All Documents (sharepoint.com)

Group Policy automatically maps this SharePoint library in OneDrive in File Explorer, so all members of Team - Wine Advisors should have it. The folders just need configuring in the SharePoint admin centre. This guide covers that.

Inside the folder for the current year you’ll see a list of all current team members (Fig 1)

When creating a new staff folder, it will automatically inherit permissions from the Order Sheets folder, including read access for all members of Team - Wine Advisors.

Only managers, administrators and finance should have access to all folders. Individual Wine Advisors should only have access to their own.

To prevent WAs viewing each others sales sheets, after creating a new folder click on the 3 dots and then Manage Access (Fig 2)

In the menu that opens, select the v arrow next to Team - Wine Advisors Members and select Stop Sharing (Fig 3)

Once the group has been removed from read access click the + next to Direct access and share the folder with the Wine Advisor it is for and click Grant access

They will get an email notifying them the folder has been shared with them.
