Managing List Views
You can create a list view which can be private, public, or for certain users.
- Go to the object you wish to create your list for -
- Click the 'Cog' next to the 'search this list' box
- Click 'New' from the options - a popup appears asking you to name it, do not worry about the API name, this automatically fills in when you enter a name
- You can set permissions so only certain users can see it, select the option for 'Share list view with groups of users'
- You can filter by user, role or group. the best way is by a public group - change this by clicking the blue icon in the search box and select 'Public Groups'
- Select the public group you want to access, they will pop up automatically, or you can type and search -
- Then click 'Save' - the list will appear and default to show your results. Now we need to tweak the filter - this is already expanded on the page
- If you are sharing the list view, it is best not to limit the filter to show 'Mine' - so click this filter an select the 'All' option
- Then click 'Add Filter' to add more criteria
- Select a field from the drop down - it will show all the fields for the object you are creating a list view for. If you are choosing a picklist - then the 'value' will show a list of the picklist values. Use the Operator and Value sections to adjust what you need
- Then click 'Save' and you're done! You may want to adjust the fields that display on the list, do this by clicking the cog again and selecting 'Select Fields to Display'
- Use the arrows to move the positions and select/remove the fields to display - then click Save
