Creating a Bulk Order on Mantiki

As of 23rd March 2021, Orders placed through Bulk Order tool will be split up into smaller groups of a specified size. At first the default size will be 50, but it can be overridden by a field when placing the order. Worth noting the larger the group, the slower the system will be

  1. Log into Telesales and search for the customer that is due the order. When in the customer click 'Bulk Order'
  2. You will land on this page and if the customer uses an invoice account, you will see their available credit
  3. Select a Billing Address from the drop down
  4. Select the relevant option for loading the order, if the order is over the invoice account amount, then select an option to create the order with - if the customer does not have an Invoice account, then select one of the bottom 3 options.
    1. Manual payment will be used if the excess is paid for via BACs for example
    2. Deferred settlement means the card will authorise for the whole amount then settle each case individually on dispatch
    3. Immediate settlement means the card will immediately be deducted the whole amount of the order
  5. You can then choose between a number of delivery Options for the order.
    1. Dispatch as soon as possible - this will extract the orders straight away and dispatch based on the delivery method selected
    2. Deferred Dispatch - This means that the orders will not be extracted until the date you have chosen and then they will dispatch on the delivery method chosen
    3. Nominated Day Delivery - this specifies which day the orders will be delivered. The method for this will ALWAYS be 'Express'
  6. After selecting a delivery type, click 'Choose file'
  7. Select the file and click 'Upload' - an example CSV can be found here - Item Discount is applied per item and can be actual value or percentage, if column is left blank then no discount will be applied - NOTE - you cannot delete contents from the rows, you MUST delete the actual rows (aside from the headers) when creating a new file otherwise it will not work
  8. Click 'Create Bulk Order'
  9. You will see the orders processing
  10. If the spreadsheet is correct and there is enough stock, the order will process and you will receive an Order group number
  11. The bulk order has completed. If a manual payment needs processing this will go into the 'Payments' queue for approval.
