Bear in mind the below changes can be seen externally and only apply to emails sent via Outlook. Titles will not update elsewhere. Any permanent changes need to be requested via HR

Salesforce email signatures are managed separately.

In our signature software, Code Two, you are able to edit some of the attributes that appear on your signature. In our case, you can edit First name and Mobile number should you wish to add a different mobile number or tweak your first name.

To do this, go to User attributes manager (codetwo.com)

You should be automatically signed in, but if not, please log in with your work Microsoft account.

Editing first name, editing or adding a mobile number

Once logged in, you can make changes. For example, if you want to shorten your first name to something else, just click on the field, edit it and click Save and update.

You can also add a mobile number this way if one is not set.

This will immediately be reflected in your signature. The process is the same for updating your mobile number.

Clearing mobile number

You can also clear your mobile number should you wish it not to appear on any signatures.

Adding LinkedIn Profile

For users that would like their LinkedIn profile on the signature there is an additional field add that can allow users to update this themselves.

To do this visit the same link as mentioned earlier in the guide (https://user.codetwo.com/) and then add the end of your LinkedIn profile URL into the box. The LinkedIn profile URL looks like this as an example: https://linkedin.com/in/UserName1234

Copy the last section of your LinkedIn URL (Username1234 in this example), paste it into the End of LinkedIn URL field and then click Save & Update at the bottom of the screen.

Once this is set up, it will automatically pull through to your signature for those set up with the LinkedIn signature profiles (mainly Commercial & New Business).

Resetting fields

To reset a field, click the below icon next to it. It will revert back to whatever information is stored in Sage People.

Non-Editable Fields

You will notice that Title and Phone cannot be edited. This is because they need to be managed via Sage People but are added to make sure they are correct. If your title is wrong, please email hr@virginwines.co.uk

Phone numbers are managed via IT, so see below.

Please note, IT cannot make changes to titles, managers, names etc. This must be done via HR.
